What is a change request and how to manage it?
Shift change requests are an essential feature for businesses that want to offer more flexibility to their workers while maintaining control over schedule management.
They allow employees to request a change to their working hours, exclusively via the mobile app. Note: a request does not mean automatic approval. Each request must be validated by an administrator, a scheduling manager, or an HR manager.
How to enable change requests?
To enable this feature, simply follow these steps:
- Go to Settings > Schedules > Settings.
- Scroll down to the Enable change requests option.
- Click the button on the right to enable or disable the feature.
You can also set a minimum notice period before changes.
➡️ Example: if you set it to 2 days, an employee can only request a change for a shift that is at least 48 hours later. For example, if today is August 28, they can only request a change for shifts starting on August 30 or later.
Where to view shift change requests?
Requests appear in several places on the platform:
- In the schedule management view: the relevant shift is displayed in blue.
- In the menu Schedules > Change Requests.
- In an individual employee profile: via Team > Activity > Change requests.
How to process a change request?
To manage requests, go to one of the last two menus mentioned above. You will see a clear list with the option to filter by status:
- All: all change requests.
- Open: requests still pending.
- Request approved: requests that have been accepted.
- Request cancelled: requests that were rejected.
- Request transferred: shifts transferred to another worker.
A search bar is also available to quickly find a specific employee!
By clicking the “Process” button, a window opens with the request details. You will then have several options:
- ✅ Accept the change
- ❌ Reject the request
- 🔄 Transfer the shift to another worker (with the option to add a comment)
You will also have these two options when processing a request:
- 🔀 Convert the shift into an open shift
- 🗓️ Replace with an absence, if the employee made an incorrect choice
Why use change requests?
This feature offers many benefits:
- Flexibility for workers: they can adapt their schedule more easily.
- Control for the company: no change is applied without approval.
- Optimized organization: thanks to filters and processing options, each request is quickly addressed.
