How to create a status?

Go to your account settings ⚙️ → General → User statuses.

Next, click on "New" at the top right to create a new status. Fill in the necessary fields. The hourly rate is not mandatory and <\/i>please note that it will override the hourly rate indicated in the employee's file. 

You will also find some settings there:

Calculation base for services: based on planned hours or based on timesheet data.
Export to social secretariat: this status will be included in the service exports.
Display the overtime counter: employees will have access to their overtime counter in the Shyfter Staff application.
Display the leave days counter: employees will have access to their leave days counters in the Shyfter Staff mobile application.

Do not forget to save!

How to assign a status?

Go to the same place, in your account settings ⚙️ → General → User statuses.

Click on the "Assign" button to open the complete list of users.
Select the employees who have this status. Once done, click on modify to save your changes.

There are two ways to reactivate previously deactivated users:

1. In the Team menu:

Go to your list of users, located in the "Team" menu. Then click on "Disabled":

Next, in the Profile → Profile Data, click on the ✅ icon to reactivate them:

2. In your account settings:

Go to the account settings ⚙️ → General → Deactivated Users.

There you will find all deactivated collaborators that you can reactivate by clicking "Activate" at the end of the line.

🔦 You will even have the option to permanently delete them

It is possible to synchronize your shifts planned in Shyfter directly into your Google Calendar, Apple iCal, Microsoft Outlook calendars, etc…

For Apple iCal, the operation is very simple, just click on the link found in the mobile app (My schedules -> Calendar icon at the top right).

For Google Calendar (Outlook, …), a link will be sent to your email address.

Go to https://calendar.google.com/calendar/u/0/r/settings/addbyurl
Ensure you are signed in to Google Calendar (or Outlook,…)
In "Calendar URL", copy-paste the link you received by email
The calendar you added now appears on the left.
Open the Google Calendar app on your phone
Select the menu at the top left of your screen.
Check the corresponding calendar

How to enable and use automatic contracts?

First of all, you will have to create your contract templates on Shyfter in order to automate the creation of contracts for your employees.

How to save a contract template?

Once the contract templates are ready, follow these steps:

1. Enable the automatic contracts feature

Go to your account settings → Contracts → Settings. Select the option "Enable automatic contract generation" and then press "Save" at the bottom center of your screen.

2. Set up and enable automatic contracts for each employee

Go to the Team menu → Users → Select a user → Profile → Settings.

Scroll down to "Automation and Basic Data". Choose the type of contract for this worker. Don't forget to check the "automatic" option box at the end of the line.

3. Shift Publication = Contract Creation

With the next shift publication, contracts will automatically be created for these shifts for the users for whom you have followed these steps.

Shyfter creates the contracts at the following hour.

Example: If you publish your shifts at 1:42 PM, the contracts for those shifts will be generated at 2:00 PM. Similarly, if you publish your shifts at 2:01 PM, the contracts will be generated at 3:00 PM.

Look at the top right corner of your screen and click on the bubble icon. Upon clicking the bubble icon, you will see your personal information displayed. Further down, you will find the history of your clockings.

How to add a new user ?

There are 4 ways to add users to your Shyfter account:

1. The registration form - if enabled:

The registration form link - which is unique - is available in Settings under the Registration Form tab. Recipients of the registration form can fill in their personal information. The users are listed under users pending validation in the Team menu and must be validated by the account administrator. Once validated, these users will be added to the list of users.

2. Manual addition of a collaborator:

In the Team menu, add a new collaborator. Manually enter your collaborators' information and save.

3. The invitation form:

In the Team menu, add a new collaborator. In the second tab, add the email addresses of your new collaborators. They will automatically receive an (individual) form where they can enter all their information.

Forms that are still pending completion are listed in the Team menu under the Pending Registrations submenu.

You can resend the form by clicking the small button at the end of the line:
