What to do in case of a contract change affecting overtime?

When you modify the "Number of hours per week" field in an employee's contract data, all previously calculated overtime may become inaccurate. Indeed, it will be automatically recalculated based on the new total weekly hours.

To avoid any errors, it is important to set the overtime counter before changing the contract.

How to set the counter before a contract change?

  1. Access the counters

  1. Select the relevant week
  • Identify the week just before the change.
  • Click on the pencil icon at the end of that week.
  • Enter the total accumulated overtime hours up to that period.

  1. Add a comment
  • Add a comment to justify the modification. This helps keep a clear record for tracking purposes.

Modify the contract

Once the counter is set:

  1. Go back to Contract Data.
  2. Modify the total hours per week according to the new contract.
  3. The counters will resume from this new total, and overtime hours will be correctly recalculated.

⚠️ Important: if you directly modify the total hours per week without setting the counter, all previous overtime will be recalculated incorrectly.

Why follow this procedure?

This method allows you to:

  • Preserve the accuracy of already worked overtime hours.
  • Ensure clear tracking for each employee.
  • Avoid calculation errors during a contract change.
